Uploading Opscan Scores to Canvas

1. Requesting the Report

  • On the Opscan job request form, select "Scores for Canvas".
  • Ensure students enter their numerical UID (not SSN or custom IDs) on the Opscan sheet.
  • If you want the file emailed, set up a password for encryption.

2. Canvas Assignment Setup

  • In Canvas, go to Assignments and then +Assignment.
  • Name the assignment, set points, and choose "On Paper" or "No Submission".
  • Click Save & Publish.

3. Preparing the Excel File

  • Open the "Scores for Canvas" Excel file.
  • In Column E (SIS Login ID), fill in any missing email addresses (lowercase).
  • Delete column B (UID).
  • Rename "Untitled-Opscan" to test name.
  • Save the file as CSV.

4. Uploading to Canvas

  • In Canvas, go to Grades – Actions – Import.
  • Upload the CSV file.
  • Confirm the data and click Finish.
  • Canvas will process the upload (approx. 10 min per 150 students).

Note: To prevent automatic grade publishing, set the grade posting policy before importing.

Troubleshooting Opscan Scores for Canvas

Before Uploading Opscan Grades to Canvas

  • Use lowercase emails in the SIS Login ID column.
  • Set assignment points in Canvas before importing grades.
  • Ensure all students have email addresses in the gradebook.

Common Issues and Fixes

  • "Untitled-Opscan" Assignment Name
  • Go to Assignments – Edit – Rename – Save.
  • To avoid this, set the assignment name in the CSV file before uploading.

Mismatch Between CSV and Canvas Assignment Name

  • Ensure the first row in the CSV matches the assignment name in Canvas.

Canvas Error Messages and Solutions

  • "Couldn’t decide which student…"
    • Check for incorrect or missing email addresses.
    • Use the drop-down menu to manually match students.
    • If a student dropped the course, choose to ignore their row.
  • "CSV Header row invalid"
    • Delete the UID column before saving as CSV.
    • Use correct headers.
  • "Unknown error occurred"
    • It is due to uploading an XLSX file. Save and upload as CSV file.
  • "Assignments not in gradebook"
    Options:
    • Match to an existing assignment via drop-down.
    • Fix the assignment name in the CSV and re-upload.
    • Add as a new assignment by entering max points and renaming it later.
